Etsy Digital Downloads: Five Files, No Variations, and a Filename You Can’t Change

Almost every piece of Etsy SEO advice — including most of ours — quietly assumes you’re shipping a physical object. Set your shipping under $6. Link photos to your variations. Watch your on-time shipping score. If you sell printables, planners, SVGs, or templates, you’ve read all of it knowing that some of it doesn’t apply to you, without ever getting a clear list of which parts.
So here’s that list. Etsy’s own Help Center specifies a handful of rules for digital listings that exist nowhere else on the platform — and three of them can’t be undone once you’ve published. Knowing them changes how you structure a printable catalog, not just how you tag it.
Etsy has two kinds of digital listing, and you choose with two different dropdowns
Etsy splits digital items into two categories, and they behave completely differently after a sale:
- Instant downloads — ready-made files the buyer can access immediately upon purchase. You upload the file when you create the listing.
- Made-to-order downloads — custom files made to a buyer’s specification, sent to them upon completion. Nothing is uploaded at listing time.
The part that trips people up is that these aren’t two options in one menu. You mark a listing as digital by choosing Digital files under Etsy’s What type of item is it? prompt. To make it made-to-order, you then go to a different dropdown — When did you make it? — and select Made To Order. Sellers who only touch the first dropdown end up with an instant-download listing that demands a file they weren’t planning to upload.
Completing a made-to-order sale is manual, every time: in Shop Manager, open Orders, find it under the New tab, check the box, choose Complete order, upload the file, and confirm. The buyer is notified by email that their download is ready. It’s a real fulfilment step with a real turnaround expectation attached — worth knowing before you list a custom design service as if it were passive income.
The file rules: five files, 20MB each
For an instant download, Etsy lets you upload up to five digital files, with a maximum size of 20MB per file. Made-to-order deliveries get the same allowance at completion time: up to five files, 20MB each.
Those two numbers shape more than they look like they do. A seller offering a print in eight sizes can’t simply attach eight PDFs. The usual answers are to bundle files into a single .zip, or to split the sizes across separate listings — and that second option is a search decision as much as a file-management one, which we’ll come back to.
Etsy’s supported file types are a fixed list: .bmp, .doc, .gif, .jpeg, .jpg, .mobi, .mov, .mp3, .mpeg, .pdf, .png, .psp, .rtf, .stl, .txt, .zip, .ePUB, and .iBook. Two things worth noticing there. .stl is on the list, which is why 3D-print files are a viable Etsy category at all. And several formats digital sellers reach for constantly — .ai, .eps, .dxf, .psd — are not on it, which is a second reason .zip does so much heavy lifting in this corner of Etsy.
One hard stop to plan around: Etsy won’t let you publish or even save an instant digital listing with no file attached. You can’t draft the listing text now and add the artwork later.
Your filename is customer-facing — and permanent
This is the rule that costs sellers the most embarrassment, and it’s in Etsy’s documentation in one flat sentence: the file names you see are the same ones your buyers see, and there’s no way to edit a name after uploading.
So final_v3_FIXED (2).pdf is not a private working title. It’s what a paying
customer downloads, and the only way to change it is to remove the file and upload a renamed
copy. Etsy adds a formatting constraint too: file names are limited to 70
characters, and to alphanumeric characters, periods, underscores, or hyphens.
Rename before you upload, and treat the filename as part of the product: something like
Botanical-Wall-Art-8x10-Printable.pdf tells a buyer what they just got when they
find it in their downloads folder three weeks later. It’s a small trust signal at exactly the
moment a buyer decides whether you were worth the money — and that decision feeds the reviews
and repeat purchases that your
shop-level customer service score is built from.
While you’re there, Etsy also lets you set a note for buyers that applies to every digital listing in your shop, shown on the buyer’s Downloads page after purchase. One note, written once, covering how to open the files or where to ask for help. Most shops leave it blank.
No variations at all — which quietly decides your catalog structure
Etsy is unambiguous: you can’t offer variations for digital items. Not size, not color, not format. This isn’t a setting to find; it doesn’t exist for you.
We’ve written about the variations-versus-separate-listings decision as a genuine strategic choice, weighing extra search surface against splitting one product’s engagement history. For digital sellers, half that debate is settled by the platform. Your only two options are bundle the formats into one listing’s files or publish each one as its own listing.
That’s worth reading as an opportunity rather than a restriction. Search surface on Etsy is per listing: each listing gets one title and 13 tags at 20 characters each — the limits in our tag and title breakdown. Five sizes published as five listings is five titles and 65 tag slots, each free to chase a different search. Five sizes zipped into one listing is one title and 13 tags, full stop.
The catch is the one that swallows split catalogs everywhere: Etsy has no bulk upload, so every new listing starts as a copy of an old one — arriving with the previous listing’s 13 tags already in the box. Change three, publish, move on, and now listing four is competing with listing one for the identical search. The extra surface you split the catalog to get was never actually filled with anything different.
The ranking lever you don’t have
Here’s a genuinely useful consequence of selling something that doesn’t move. Etsy confirms the shape of it in an unexpected place: its guidance notes that a shop selling only digital items is still eligible for Star Seller, but won’t see an on-time shipping & tracking score on the dashboard — judged instead on the remaining metrics.
Nothing ships, so nothing about shipping is yours to tune. The $6 and $35 shipping rules that reorder US search results are levers physical sellers can pull and you simply can’t. Neither can your competitors, which is the real point: in printables, that entire dimension of competition is flat.
What’s left is text and conversion. Whether you’re matched to a search at all comes down to your title, tags, categories, attributes, and description — and whether you rank once matched comes down to whether people who see your listing click, favorite, and buy. Both halves of Etsy’s two-phase search, which we walk through in whether descriptions affect search, are things you write and design. For a digital shop, the words are not one lever among many. They’re very close to the whole game.
Two more rules worth knowing before you list
- It has to be yours. Etsy applies the same standard to digital goods as to handmade ones: digital items in your shop must be made and/or designed by you, the seller. Reselling a commercial-license bundle as-is isn’t what this policy contemplates, however common it looks in search results.
- A sale is effectively final. Etsy states that canceling the order is the only way to revoke a buyer’s access to a file after purchase. There’s no un-sending a download — which is exactly why your listing text needs to describe the file honestly: formats included, sizes, whether fonts are embedded. A buyer surprised by what’s in the .zip is a refund request and a review, and reviews are a ranking input.
Where this fits with the rest of your listing
The file mechanics are yours to handle in Etsy’s uploader — name the files properly, respect the five-file and 20MB ceilings, write the buyer note once. What’s left is the part that decides whether anyone finds the listing, and for a digital shop that’s carrying more weight than it does for a physical one.
