Etsy Return Policies: What Each Setting Commits You To, and What “No Returns” Doesn’t Cover

An Etsy return policy is not a shop-wide switch. It is a named policy you attach to each physical listing, and a shop can keep several. Choosing “no returns” also changes less than it sounds: a buyer whose item “differs significantly” from its listing can still get a refund through Etsy’s case system. The policy mostly decides what happens when a buyer simply changes their mind.

Where does an Etsy return policy live?
In Shop Manager → Settings → Policy settings → Returns and exchanges. Etsy describes these as policies “applied as you see fit to your individual listings rather than being a blanket return policy for your entire shop.” Each listing carries one; switch many at once from Listings → Editing options → Change return & exchange policies.
Three rules from Etsy’s policy pages are easy to miss:
- A policy in use can’t be deleted. Etsy: a policy “can only be deleted if it is not associated with any of your active listings.” Move those listings to another policy first.
- The listing editor suggests your most-used policy. Once you have at least one, new listings are offered “the policy you’ve set the most on your active listings.” It is a suggestion you accept with Apply, so check it fits the item before you do.
- The Etsy Seller app can’t edit policies. Etsy says policies “can’t be added or edited from the Etsy Seller app”; use desktop or mobile web.

What does each return policy setting commit you to?
A policy has two checkboxes, returns and exchanges, and a time frame chosen from a dropdown. Etsy’s help page does not list the dropdown’s values. The one fixed example is the simple return policy template, which accepts both returns and exchanges within 30 days of delivery. Two further terms apply to every return on Etsy, template or not.

Return shipping can still be negotiated. Etsy’s return guide lists it as something to agree with the buyer “if you don’t state this in your shop policies,” and a partial refund can recoup it “depending on who agreed to pay for return shipping.”
Do you have to accept returns on Etsy?
No. Outside the EU, Etsy requires a return policy on every physical listing, but “whether you choose to accept returns or exchanges on your listings or not is completely optional.” The requirement is to state your terms. Etsy adds that a listing without one may appear lower in search, so set a policy even if it says no returns.
That search effect sits with the other day-one signals in how customer service affects Etsy search. Digital listings are the exception: Etsy says it is “not possible to set return or exchange policies” on them. For items a buyer can order as-is or personalized, the FAQ workaround Etsy suggests is covered in Etsy’s personalization fields.
What does “no returns” not protect you from?
Cases. A buyer who contacted you more than 48 hours ago can open one, and Etsy’s buyer page promises a refund for a qualifying order that doesn’t arrive, arrives 7+ days after its delivery window, arrives damaged, or “differs significantly from the item description or photos.” Your return policy is not one of the conditions on that list.
Etsy’s buyer-side article draws the line itself: if an order doesn’t meet the Purchase Protection criteria, the buyer should “check the seller’s policies to see if they accept cancellations, returns or exchanges.” So the return policy governs the orders a case would not cover, such as a buyer who no longer wants an item that arrived as described. And when an item genuinely doesn’t match its listing, Etsy’s seller page makes the order ineligible for Purchase Protection: “Sellers are responsible for refunding costs for orders that don’t qualify.” Who pays when a case does apply is in Etsy Purchase Protection for sellers.
A second limit: agreements you make count. “If you enter into a return agreement with a buyer via Messages or Etsy’s case system, we require you to fulfill that agreement,” which can mean a refund or proof of shipping for a replacement. A “no returns” listing plus a friendly “sure, send it back” message is a return you now owe.
How does a return actually work on Etsy?
Mostly by hand. Etsy’s seller guide for returns has three steps: coordinate the return, wait to receive the item, then refund. Coordinating means agreeing where the buyer sends it, the time frame you want it back in, and who pays return shipping. Etsy tells buyers to settle those details in a message before sending anything back.
The refund is a normal Shop Manager refund (Orders → three-dot menu → Refund), full or partial. Two limits apply. You can’t refund more than the buyer originally paid. And through Etsy Payments you can refund only until 180 days after the payment was processed.
Who pays return shipping, and how do you pay it if you agreed to?
By default the buyer does. If you agreed to pay, the simplest US route is an Etsy return label, charged only if the buyer uses it. If the buyer buys the label instead, the refund cap stops you adding their postage on top of a full refund, and Etsy suggests you “send the funds for the shipping label through PayPal.”

- Where: Shop Manager → Orders → Completed → Create return label under the original label number, then send it to the buyer in Messages.
- When you pay: only once USPS scans the buyer’s package. The final charge is based on the package USPS ships and generally appears a few days after delivery.
- Unused labels cost nothing, but a used label can’t be canceled or refunded.
- Tracking is included. Extra insurance can’t be bought; Priority Mail labels include insurance already.
- Who qualifies: US sellers, buyers with an address in the 50 states (not US territories or APO/FPO/DPO), for items sold on Etsy. A guest buyer must attach the order to an Etsy account first.
Outside the US, Etsy says it doesn’t currently offer return labels: you or the buyer buy postage from a carrier directly.
What happens to your Etsy fees when you accept a return?
A refund issued through Shop Manager automatically returns your transaction and processing fees for the refunded transactions. The $0.20 listing fee is credited only if you also cancel the transaction, and Etsy states that canceling is separate from refunding. One edge matters for long return windows. After 180 days, Etsy says a shop whose policy allows later refunds can refund through a method outside Etsy, “such as PayPal”, and in that case “Etsy won’t be able to refund your seller fees.”
What changes for orders shipping to the EU?
Two things on Etsy’s side. If you set a return policy shorter than 14 days, a banner reminding you of the EU right of withdrawal appears on your Returns and exchanges page. And since early July 2026, EU buyers can submit a withdrawal request inside a help request. You receive a message and are responsible for reviewing it.
For a valid request, Etsy’s EU article (last edited 30 June 2026) lists the terms: refund within 14 days of the request, including the item price and standard shipping, and you can wait until the item arrives or the buyer shows proof of return. Whether the law applies to your shop is a question Etsy says its Support team cannot answer. It points sellers to a local legal professional, and so does this post.
A return-policy check for your listings
- Listings with no policy. Outside the EU, every physical listing needs one, even if it says no returns.
- Which policy each listing carries. The editor pre-suggests your most-used policy; switch any item that needs different terms before you accept it.
- Your time frame against 180 days. Etsy Payments refunds stop 180 days after the payment was processed.
- Return shipping. If you agree to pay it, buy the label yourself (US) where you can: a refund can’t exceed what the buyer originally paid.
- Your Messages. A return you agree to there is one Etsy requires you to honor, whatever the listing policy says.
- Custom and personalized exclusions stated in your shop FAQ and the listing description, as Etsy suggests.
Where the listing text comes in
The return policy sits beside a description that a case will be judged against: Etsy’s case promise covers items that “differ significantly from the item description or photos.” ListingLoom drafts a title inside Etsy’s 140 characters with the main keyword in the first 40, 13 tags of up to 20 characters, and a description.
